Board Reports 2003

President's Report

I am going to leave this in a semi formal format for now.

We have had a great year overall, Some excellent publicity in the exhibition area, a great new journal, old members have returned , and new ones are joining. I know that we have all had personal difficulties this and I appreciate all the efforts. As we go into the new year I suggest we try to forge ahead with some of our old projects and delve into a few new ones hopefully our agenda will cover that. I will leave off here for now and we can continue with more important items.

Second Vice President's Report

This year has been quite busy! I started out the year with designing a new report that is available to all affiliated clubs in PDF format. The renewals were sent and quite a few renewed this year. We are going to have to streamline this process next year and I will be working with our Treasurer to do so. I will also be suggesting to put the affiliated club information on the website and a place for them to download a copy of the application. This would make things a lot easier. Also, monies would go directly to the PO Box instead of going to my house first.2003 hit us with a big plus for IPS. As you all know, the IPS held its first Specialty Show in late August in Montgomery Alabama. The process, though it was laborious, was a good "heads up" on what to do and what not to do with specialty shows. We are going to continue to work with both NAPS and SPBE to honor our agreement for classifications. We had too many classifications in the Montgomery, Al show this year. It became quite confusing! But, its a learning process and to end out the year, I will be emailing all of you a quick outline of where I would like affiliations to go for next year. This will include a budget, a preliminary idea of affiliation levels, etc.. All this needs to be decided by January 1 as I will be once again sending off club affiliations. My goal this year, is to get more affiliations from clubs that do not hold shows. This would look great for IPS as we expand our reach to show clubs, we must not forget non show clubs!

2003 was a big step for exhibition of parrotlets, but now 2004 must fine tune this and make sure we have a plan that stands the test of time and our wallet.Thanks to all who have helped out. I will continue to need input as this MUST be a group decision.

Secretary's Report

The majority of the year has been spent on working IPS' public appearance and bringing the Club up to conformity for obtaining IRS 501(c)(3) status. I spent many hours meeting with attorney Dina Hoffman providing records and information to give to the IRS and the Franchise Tax Board of California to obtain non-profit incorporation in the State of California and 501(c)(3) status including complete revision of bylaws, constitution and policies as well as preparation of Articles of Incorporation. 

I also made the arrangements and paid for Dr. John O’Neill to speak on IPS behalf at the AFA convention (at a cost of approximately $700). At the AFA convention, I worked the IPS booth every day introducing people to parrotlets, passing out information about IPS, signing up new members, sold raffle tickets, conducted the IPS meeting and raffle and helped John and his wife with his presentation as well as the selling of his artwork. I did not attend the NAWA meeting as I arrived late from a dinner engagement but did meet on several occasions privately with Drs. Depoyster and Gibson on various legislative issues including the AWA, END and other regulations affecting birds. 

I have written several articles for major magazines both in the US and abroad on parrotlets (these were private contracts and not affiliated with IPS) and I included information on IPS. I also spoke about IPS at my various speaking engagements, again, which were contracted due to my work as a professional aviculturist not due to my affiliation with IPS. I also promoted IPS at all the shows I attended and placed information on IPS for interested parties to pick up. I also donated birds and other items at AFA, GABS and the Parrotlet National in Montgomery, AL and helped at all shows, raffles and auctions.  

Membership has been increasing both with affiliated clubs (thank you Leslie) and the general membership. Many members are returning now that order has been restored. We are just about to where IPS has always been with regard to membership – an average of 500. Interest in advertising in the journal is also increasing as both Quiko and Hagen have expressed an interest. I sent both companies information including a sample journal and prices.

I have been working with various board members on various issues that have arisen including keeping Leslie posted on club affiliations, notifying the journal editor of ads and missed/damaged journals as well as new members and renewals. Issues regarding members’ complaints, compliments, inquiries, etc., have been sent to the president and appropriate board members as needed. IPS has received numerous compliments regarding the format of the new journal, which have been sent to the editor. The most common complaint, however, is the irregularity of publication of the journal. I have also sent out new member packages, information packages to those that requested it, regularly updated the IPS web-site, processed band orders and sent out thank you notes to donors and volunteers. I also sent a request to US Fish and Wildlife Service to update the list of Approved Captive-Bred Species with more color mutations as well as checking with CITES and other authorities researching the Trinidad project.

Currently, most members are very happy with the way IPS is being run and the Board should be commended. People like the direction that IPS is taking and thoroughly enjoy the new updated journal. I also am seeing more and more clubs wanting to be affiliated and holding parrotlet regional shows. Also, the raffles and auctions at the shows are paying for the expenses so no members’ dues are being used to support exhibition. We are still working for our own Divisions at GABS and NCBS and hopefully now that I have been appointed to the board of GABS, this will be soon granted. However, I do keep Leslie informed of all exhibition activities as well as the president and I defer to Leslie’s expertise and authority in all matters.
